The Role

We are looking for a sharp, detail-obsessed, and proactively communicative Bookkeeper / Accounts Payable Specialist to own the financial operations of our business. This is not a passive role. We need someone who treats our books the way a surgeon treats a patient — with precision, care, and zero tolerance for error.

You will work directly with the Owner and alongside our external CPA, serving as the operational backbone of our financial function. If you are the kind of person who finds deep satisfaction in clean books, a perfectly reconciled account, and a zero-surprise month-end close — this role was built for you.

Note: This is an operations-focused role. You will not be making strategic financial decisions, managing payroll, or filing taxes (handled by our CPA). Your lane is clean books, accurate records, timely payments, and proactive communication.

What You’ll Own

Accounts Payable Mastery: Enter, categorize, and pay all bills through QuickBooks Online, Bills.com, wire transfer, and PayPal.

Vendor Management: Set up vendors properly from the start — collecting W-9s, establishing payment terms, and maintaining compliance documentation to ensure seamless 1099 preparation at year-end.

Revenue Tracking: Categorize Stripe deposits as they download into QuickBooks, ensuring accurate reflection across all income categories.

Cash Flow Operations: Execute daily transfers from the income account to the operations account to keep cash flow structured and predictable.

Event Financials: Collaborate directly with our Events Manager to ensure all event venue deposits (pre- and post-event) are processed accurately and on time.

Flawless Reconciliation: Reconcile American Express and bank accounts monthly without exception. Maintain accurate AP aging schedules and monitor inter-company transactions.

Dispute & Compliance Management: Manage and counter Stripe disputes within required timeframes, and support our external CPA with ad-hoc reporting.

Qualifications & Requirements

To ensure we are bringing on the best possible candidate, we require the following:

Experience: Minimum of 3-5 years of hands-on bookkeeping and accounts payable experience managing real books for a growing business.

Education/Certification: Bachelor’s degree in Accounting, Finance, or a related field is preferred. QuickBooks Online ProAdvisor certification is a strong plus.

Software Expertise: QuickBooks Online: You must be a QBO power user (hard requirement).

Payment Platforms: Deep understanding of Stripe (and its QBO integration), Bills.com, wire transfers, and PayPal.

Compliance Knowledge: Proven experience with 1099 preparation and strict vendor compliance.

Reconciliation Skills: Elite reconciliation skills across multiple bank and credit card accounts.
